(“we,” “us,” or “our”) operates www.orgdesignstudio.com and provides educational materials, digital learning environments, interactive labs, newsletters, and virtual coaching related to organization design. Personal & Account Information

Information that identifies you, such as your name, email address, job title, organization name, account credentials, and communication preferences. You provide this when you sign up for our newsletter, create a free or paid member account, register a team project, or contact customer support.

Payment & Billing Data

When you purchase a subscription, team package, or coaching add-on, payment details (e.g., credit card numbers, billing address) are processed securely by our third-party payment gateways. We do not store full payment card details on our servers.

Interactive Lab & AI Output Data

Information, text inputs, project brief details, uploaded notes, and prompts you enter into interactive labs, autoresponders, or AI assistant features within the platform. We utilize secure AI service endpoints designed to process your inputs strictly to deliver functionality. We do not use your proprietary inputs to train public foundational AI models, and we configure our third-party infrastructure providers to restrict training on user-submitted prompt data wherever technically feasible.

Virtual Coaching & Event Data

Information collected when you register for or attend live Q&A sessions, coaching calls, or interactive workshops, including meeting attendance records, scheduling notes, and shared team inputs. Live coaching sessions are unrecorded by default. If your team specifically requests a session recording for internal review, the session will be recorded only after advance written confirmation and explicit on-screen notice to all participants.

Usage, Technical & Analytics Data

Information automatically collected when you navigate our site or open our emails, including IP addresses, browser types, device information, operating systems, referring URLs, pages viewed, lab completion metrics, email open rates, and click-through data.

2. How We Use Your Information (Legal Bases)

We process personal data under the following legal bases:

  • Contractual Necessity: To manage your account, process payments, provide access to labs, and deliver contracted team services.
  • Legitimate Business Interests: To improve our platform, conduct security monitoring, communicate product updates, and manage customer relationships.
  • Consent: Where you have explicitly opted in, such as subscribing to marketing newsletters or accepting non-essential cookies.
3. Data Sharing & No Selling/Sharing for Advertising

We share information only with trusted third-party service providers who support our business operations:

  • Platform Infrastructure & Hosting: Learning management systems (e.g., Kajabi) and secure cloud databases.
  • Payment Processors: Secure merchant processing gateways.
  • Communication & Scheduling: Email automation vendors, calendar tools, and video conferencing software.

We do not sell your personal information, nor do we share your personal data with third parties for cross-context behavioral advertising or retargeting purposes.

4. Data Retention & Deletion Policy
  • Individual Accounts: We retain personal account data for as long as your membership account remains active.
  • Team Projects & Coaching Data: To protect corporate confidentiality, all team lab outputs, workspace documents, diagnostic scores, and coaching interaction notes associated with a Team Project are archived upon engagement completion and permanently deleted twelve (12) months after the engagement ends, unless an extension is explicitly requested by the customer organization.
5. Global Privacy Control (GPC) & Cookie Consent

We recognize browser-based Global Privacy Control (GPC) signals. When our platform detects an activated GPC signal from your browser, our consent management platform automatically opts you out of non-essential tracking cookies. You can also customize your cookie preferences at any time through the Cookie Policy link in our site footer.

6. International Data Transfers

Organization Design Studio® Ltd. is headquartered in the United States. If you access our platform from outside the U.S., your information will be transferred to and processed in the United States. We implement appropriate legal safeguards, including Standard Contractual Clauses (SCCs) where required, for international data transfers.
